Retail Operations Specialist

The Retail Operations Specialist is responsible for daily operations that maintain Temescal Wellness’ highest standards of high-quality service, regulatory and procedural compliance, and robust inventory management. This individual is responsible for providing outstanding service to our patients and guests, and ensuring that Associates have the support and training needed to do the same. The Retail Operations Specialist will assist in ensuring the compliant operations and the management of all cannabis product and accessories inventory within the dispensary located in Hudson, Framingham, or Pittsfield Massachusetts, pursuant to and in compliance with local and state laws and regulations, including 935 CMR 500, 501, and 502. 

 

As part of the leadership team, this role includes key holder responsibilities including opening and closing the location and serving as the manager on duty when Manager and Assistant Manager are not on site. The Operations Specialist will adhere to all Retail SOPs and policies and closely observe Associates and the retail environment and notify management of any issues or potential areas for improvement. They will help ensure the accuracy of inventory including but not limited to; all deliveries, both count and labeling accuracy, our menus both in store and electronically, the input and accuracy of product details in our POS and METRC, and the accuracy of product test and batch information and CoA organization. They are also responsible for maintaining the high standard of cleanliness, safety, and compliance that our retail facilities require. They will act as an objective third party in a monthly compliance audit of the facility, highlighting any and all deficiencies, concerns, and areas for improvement and reporting them directly to the Compliance team.

Responsibilities:

  • Responsible for opening and closing shifts, to include the protection of dispensary assets by following Temescal Wellness standard operating policies and procedures
  • Handle cash according to SOPs, including opening and closing registers, cash drops, making change, and organizing deposits
  • Ensure compliance and accuracy of all retail SOPs within the team day to day
  • Conduct objective monthly compliance audits of the location using Simplifya and drive corrective action for any non-compliant items
    • Audit results should be communicated directly with the compliance team, not with team members on site
    • Focus on finding any and all issues, concerns, areas for improvement
    • Efforts should be made to reduce repeat fail items, and avoid inconsistencies with the regular external audits of your facility by the Compliance Team
  • Assist in confirming all products that are delivered to the Dispensary are accurate and compliant (manifests, counts, and labels), assisting the Inventory Manager, or doing so independently when the IM is not on site
  • Communicate effectively with compliance leadership when there are issues to help quickly resolve those issues and take ownership of corrective actions to ensure implementation
  • Conduct or arrange for monthly compliance-related inspections including fire extinguishers, emergency lights, malware, security system, scale certification, generators, ID science ID scanner updates and maintenance, etc.
  • Maintain accurate and organized compliance-related records for the facility including visitor logs, security inspection logs, inventory management records, other inspection records and security and compliance related maintenance records 
  • Assist management in driving incident reporting procedures including information collection, report writing, and timely reporting of said incident to compliance leadership for timely reporting to the regulatory bodies within 24 hours
  • Backend and METRC inventory and sales validity
  • Transfer and transport products to and from the vault and sales floor and between Medical and AU licens es, assist in vault organization
  • Assist Inventory team in accurately adding product to the transport manifests for deliveries
  • Assist in holding retail associates accountable for inventory, customer service, and dispensing errors
  • Provide compliance and inventory handling training to new hires, and identify and provide additional compliance and inventory management training needs for existing staff as needed
  • Attend regular meetings with the Compliance Director and/or Compliance Manager 
  • Assist management with maintenance of a well-stocked and beautifully merchandised dispensary
  • Uphold all standards pertaining to dispensary cleanliness and Serv-Safe for infused product handling
  • Consistently provide a transformative guest experience by making every effort to partner with the guest to find the best available product for their stated need
  • Assist management in leading the monthly inventory audits compliantly for POS 
  • Maintain store security, including building security and the security of all company assets to include the handling of cash and other financial instruments
  • All other duties assigned by management

Requirements:

  • Enjoy a start-up environment that requires the ability to adapt to change and improvise to overcome unexpected challenges
  • Cannabis industry experience strongly preferred, to include excellent METRC skills
  • Ability to visually examine products for quality and signage/labeling accuracy
  • Exhibit a “can-do” attitude and a willingness to take on new responsibilities and tasks as they become necessary
  • Ability to assure compliance by demonstrating attention to detail and the aptitude to process and internalize a large volume of information, most specifically around state regulations
  • Relentless pursuit of accuracy and of achieving efficiency through technology and scalable processes
  • Ability to learn, operate, and administer software relating to inventory control/electronic tracking, point of sale, and business operations (e.g., compliance audit software, inventory management software, MA Virtual Gateway/CIP, etc.).
  • Strong written and oral communication skills, and ability to effectively interface with a large, diverse population of patients, guests, teammates, vendors, regulators, community members, and other stakeholders.
  • Ability to thrive and effectively manage time in a challenging start-up environment: being adaptable to regulatory changes, building team rapport, disciplined adoption of standard operating procedures, identifying inefficiencies, and contributing to the continuous improvement of operations.
     
  • Essential Job Functions:
  • Ability to stand and walk for extended periods of time
  • Bend and stoop to grasp objects, bend and twist neck and waist, reach above and below shoulders and squat
  • Bend and lift loads, not to exceed 50 pounds
  • Repetitive use of hands for grasping, pushing, pulling and fine manipulation
